Booking and Payment

How can I book a tour?
Most of our passengers book remotely by providing soft copies of documents (passports, PAN Cards, and Aadhaar card for all passengers) and making payment digitally. You may also book your tour at the Four Season Holidays offices and make payment through cheques.

How many days prior to the tour should I do the booking?
Four Season Holidays recommends you book your tour at least 9 months prior to the scheduled departure date as most of our tours fill up approximately 6 months in advance.

Why is the Tour price a combination of Indian Rupees and Foreign currency?
We incur expenses of the tour in multiple currencies, depending on the countries we are visiting. Your air tickets, visa, documentation, some part of land arrangements and miscellaneous expenses are paid in Indian currency whereas your land arrangements like hotel/cruise booking, meals, coach, sightseeing, train or ferry tickets, etc. are done in foreign currency. Pricing in 2 currencies makes it easier to understand the structure.

When do I have to make the payment?
You have to pay the Registration Amount while making the booking. You will have to make your next payment between 90 and 75 days before departure, or before visa processing, whichever is earlier. This payment covers the Foreign Currency part of your price. The exact amount in Indian Rupees depend on the prevailing exchange rate. The final payment must be settled 45 days prior to departure.

What are the different payment modes for booking a tour?
To book a tour or holiday, you can pay by any of the following methods:

  • bank transfer
  • UPI of your choice
  • cheque or demand draft
  • Credit card(free of charge)
  • Debit card (requires a non-refundable convenience change of 1.5% of the transaction amount )

What should be the name on the cheque?
Cheques/Demand Drafts should be in the name of Four Season Holidays. For Bank Transfers, the bank account names are given in our Booking Form.

Is the registration amount paid to book a tour refundable?
If you choose to cancel a tour after paying the Booking Amount, we will levy a cancellation charge based on the time of cancellation. Please check the detailed Terms and Conditions using the link.

What are the documents required to book a tour?
To book an International Tour, you need to provide your passport, PAN Card, and Aadhar card details. Your passport should have validity for 6 months subsequent to the scheduled departure date of the tour and with sufficient number of complete blank pages (Left to Right) for visa purposes.

I am a single traveller. Will I be charged a single occupancy?
Most of our trips have both the options -Twin Sharing or Single Occupancy. This means if you feel comfortable you can share a room with another Four Season Holidays traveller of the same sex. In a single occupancy option, you may avail of a Single-Bed room.

Cancellation & Refund

What is the cancellation policy for a group tour?
Whenever you cancel any tour for any reason, cancellation charges will apply according to the Cancellation Policy mentioned in the Terms & Conditions of Four Season Holidays. For more details, contact us.

What is the mode of payment in case of a refund from Four Season Holidays?
Any applicable refund from Four Season Holidays will be paid by NEFT/RTGS or A/C payee cheque in Indian rupees only, even if you have made the tour payment partly or fully in foreign currency.

How long does it take to process a refund?
Four Season Holidays processes the refund within 15 working days of settling the account with our partners. In certain cases, the partners (airlines, ground handling agents, railways etc) may take between 30 to 60 days to make the settlement.

Insurance

What is covered under my insurance policy?
Group tour insurance policy included in the tour price has a limited cover which may include loss of baggage, flight delays/ cancellation, hospitalization, death, repatriation, evacuation etc. to a certain extent. Optional adventure activities which are a part of the tour itinerary may or may not be covered in the insurance policy.

How will I get Insurance coverage if I extend my holiday after or before the scheduled tour?
The Insurance included in the tour price is only for the tour duration. For your extended holiday we will process your insurance accordingly, you just need to pay the difference.

Visa

Will you assist me in getting visa?
Visa is mandatory for an international tour and you must ensure that you possess valid visas for your tour. If you booked a group tour, normal visa processing is included in the tour price and TravelLive will arrange to process your visa once you submit all necessary documents. We are merely facilitators of visa application and will assist you to prepare visa documents and guide you with formalities of each country. We will also submit and collect your passports from the consulate on your behalf wherever we are allowed to do so as an agent. Alternately, you may choose to arrange for your own visa without our assistance. In such case, or, if you possess a suitable visas, you can avail visa fee reduction in your tour price. In certain cases, the visa authorities of the countries you are traveling to may call you for a personal appearance at a consulate located in another city. In such cases, you will have to arrange for the travel and bear the costs, which are not included in our Tour price.

When would you apply for my visa?
The time to process the visa varies from country to country. On top of that, generally there is a considerable waiting time for getting appointments. TravelLive keeps track of the situation in every country and will guide you through the process. Currently, we are applying for visa to European countries about three months prior to the departure. For African and Asian countries, we apply about two months before the departure. TravelLive Visa Officers will contact you and guide you through the process.

What is the possibility of getting a Visa?
Granting a visa is sole prerogative of the respective Consulate / Embassy. We are not in a position to assure visa to anyone. We only assist you in filing the application for the visa. From our side, we ensure you get all supporting documents including air tickets, hotel bookings and local transport arrangements. As thousands of people have travelled with us, we have a good standing with different consulates as a stable and ethical travel partner. However, each individual is treated differently by the visa authorities, and your personal financial records are vital.

How and when will I know that my visa is done?
Though TravelLive assists you to process the visa, granting of the visa is at the sole discretion of the respective country. Certain embassies / consulates will communicate with you directly and will send the passport to your registered residence address. Some consulates intimate us about your visa, which we will immediately convey to you.

What happens if my visa gets rejected?
As granting of visa is not in the hands of TravelLive, it may happen that visa gets rejected due to various reasons which consulate / embassy may or may not disclose. Under that unfortunate situation, you may consider your options. In some cases, we may advise you to reapply for a visa for the same or a different country. Your other options are cancelling the trip or selecting an alternative tour. In these cases, you can get a refund after deducting the visa application fees and other cancellation charges, if any, as per our Terms & Conditions.

What is the process if I already have valid visa for the tour?
If you have valid visa for the tour, please get it checked from TravelLive Visa Executives at the time of booking. If the visa is valid, you can avail visa fee reduction in tour price.

How will I get Visa coverage if I extend my holiday after or before the scheduled tour?
The Visa included in the tour price is only for the tour duration. For your extended holiday we will process your visa accordingly, you just need to pay the difference. Please keep in mind that you may need to extend your medical insurance to cover your entire stay by paying an additional amount.
